AI-based knowledge management

Intelligent knowledge management for your team

Knowledge is available, but often difficult to access. Employees search for information from various tools, files and systems. With AI-based knowledge management from P&M, you can combine artificial intelligence and knowledge management on a central platform. Your teams can ask the AI directly, receive contextualized answers with sources and find information in seconds instead of laboriously researching it.

Making knowledge intelligently available

We develop systems that make knowledge in the company findable and verifiable. We combine artificial intelligence and knowledge management to create solutions that provide information in a contextualized, comprehensible and securely integrated manner.

Central knowledge platform

Central knowledge platform

We bring together information from DMS, SharePoint, Confluence or databases in an AI-based knowledge database. A semantic AI search makes it possible to find content in natural language - with source reference and direct document access.

Verifiable answers

Verifiable answers

Each answer contains a reference to the original source. This means that knowledge remains verifiable - a key aspect for governance, compliance and trust in AI-supported systems.

Secure integration

Secure integration

Our solutions are ISO 9001 certified, ISO 27001 in preparation. On request, we develop on-premises or in European cloud environments such as Azure, AWS or GCP - always with clear roles, access controls and data sovereignty for you.

AI in use in the city administration of Soltau

An NDR report shows how the AI application enaio gpt, developed by P&M together with Optimal Systems, significantly speeds up administrative processes in Soltau.
Procedure

How a knowledge system is created from data

01

Analysis & data acquisition

We review existing systems, data sources and formats - the aim is to gain a clear overview of your knowledge ecosystem.

02

Architecture & Prototyping

We are developing a RAG concept (Retrieval Augmented Generation) and testing the first AI queries with real data - including source references.

03

Integration & Training

The platform is connected to your systems (e.g. DMS, SharePoint, Notion). We train the AI on your documents and workflows.

04

Operation & further development

We support you during operation, expand data models and continuously optimize the relevance of the results.

Services

AI that makes knowledge usable

Our solutions combine semantic AI search, RAG and natural language input to create a powerful knowledge system.

  • Development of RAG systems with source references
  • Direct document navigation in the original document
  • Integration of DMS, intranet and collaboration systems
  • Development of vector databases & knowledge graphs
  • NLP for classification and document recognition
  • Semantic search interfaces & chatbots
  • Governance & authorization concepts
  • Training & change management

FAQs

Frequently asked questions about knowledge management with AI

AI-based knowledge management uses artificial intelligence to make information more usable within the company. AI understands content, recognizes correlations and links data from different sources. This creates a central knowledge base in which answers can be found quickly, checked and kept up to date.

Traditional search systems display hit lists based on keywords. In AI knowledge management, the AI works with a semantic search - it understands the content and meaning of your questions. This allows it to summarize information from different sources, provide contextual answers and refer directly to the original passage in the document. As a result, employees not only find data, but also concrete answers.
In principle, almost all systems in which knowledge is stored can be connected - such as DMS solutions, wikis, databases, SharePoint, Confluence, Notion or your intranet. The existing knowledge is connected via standardized interfaces such as REST or GraphQL without changing existing systems. This creates a central knowledge base that makes all relevant information findable.
Our solutions meet the requirements of the GDPR and the upcoming EU AI Act. Data is processed exclusively in controlled environments - on-premises or in certified cloud platforms in Europe. Roles and rights concepts regulate who can access which content. This protects your knowledge and ensures traceability at all times.
Each AI response contains a source reference with a direct link to the corresponding text passage in the original document. This allows employees to check statements immediately and understand them in context. This creates transparency and trust in the results of the AI.
The duration depends on the amount of data and system diversity. We usually launch pilot projects within four to eight weeks - from analysis to the first functional application. This allows us to recognize early on what added value the system offers in everyday use.
